Booking & payment

Deposit and balance

In most cases, a 30% deposit is required to hold a tour. The remaining balance is due 7 days before departure.

Booking confirmation

A tour is held only after Vietphong Mekong receives the deposit and sends confirmation through WhatsApp, Zalo, email, or hotline.

Tour pricing and surcharges

Displayed prices cover only the services listed on each tour page. Single-room, holiday, and personal-expense surcharges are quoted separately.

Private groups and special arrangements

A written quotation or confirmation for private groups, custom tours, or services with special conditions may state a different payment schedule; that agreement applies to the relevant booking.

Cancellation & refund policy

Refund amounts and cancellation fees depend on when Vietphong Mekong receives the cancellation request, as shown in the table below.

Schedule changes

Travelers may change the departure date once at no charge if notice is given at least 5 days in advance. From the second change onward, a surcharge of 200,000 VND per traveler applies. Switching to another tour follows the actual fare difference.

One free date change

Available once for tours with open seats and the same service tier.

Second-change surcharge

Calculated based on the actual number of travelers and when the change is reported to the consultant.

Travel insurance

All tours include basic travel insurance under Ministry of Culture, Sports and Tourism regulations. Maximum compensation is 30,000,000 VND per traveler per incident. Additional coverage is recommended for family trips and private tours.

Insurance does not cover pre-existing conditions, accidents caused by legal violations, loss of personal belongings due to negligence, or incidents outside the tour scope.

Privacy

Vietphong Mekong uses the information you provide with a booking request to advise, confirm, and support your trip.

Information we collect

The booking form may collect your name, phone number, selected tour, departure date, passenger counts, calculated price, locale, and the page URL you were viewing.

How we use it

We use this information to process a booking enquiry, send a quotation or confirmation, operate the service, and respond to support requests.

Storage and sharing

Enquiries are stored in Vietphong Mekong's Sanity system and, when configured for operational notifications, may be sent through email or Discord providers. We do not sell customers' personal information.

Your rights and retention

You may request access to, correction of, or deletion of your information by contacting [email protected]. We retain information only as reasonably necessary for booking support, service delivery, record-keeping, and legal obligations, and protect it with reasonable organisational and technical measures.

Responsibilities of each party

Vietphong Mekong

Provide the confirmed itinerary, service tier, and tour conditions as agreed.

Notify travelers early when departure timing changes because of weather, operations, or minimum passenger count.

Support incident handling while the tour is in progress.

Traveler

Provide complete personal information, documents, and special requests before departure.

Arrive on time at the pickup point and follow the coordinator's instructions.

Take care of personal belongings and remain responsible for high-value items.

General terms

Booking confirmation

A tour is held after the deposit is paid successfully and confirmation is sent by Vietphong Mekong through Zalo, email, or hotline.

Tour pricing

Displayed prices include the services listed on each tour. Single-room surcharges, holiday surcharges, or personal expenses are shown separately.

Medical information

Travelers should report pregnancy, allergies, or special meal requirements in advance so the operations team can prepare suitable support.

Force majeure

In the event of natural disasters, epidemics, flight suspensions, or official government orders, Vietphong Mekong prioritizes date changes or refunds based on the supplier's actual policy.
